2.Document life cycle analysis and management

 

Collaboration
The document creation is either a collaborative or an individual effort. More often if it is a project document, department centric document then the content is generated as a team effort.

Draft
The document is never final the first time. The first version of the document is generally a draft the may require revisions as the content within is fine tuned

Revisions

A document can undergo multiple revisions which result in multiple versions of the same document.

Final Draft
The last but one revision is considered as the final draft

Review & Approval
Typically a Reviewer and Approver in an organization review the final draft suggest changes if required and approve the document. A document once approved would have a final “Approved version” which is the last and the latest.

Publish
An approved document is normally ready to be published to the corporate information repository in a pre-defined format and type.

Archive
Documents need space for storage and future access. Each document has its life span as per business policy. Non-Active documents can be either destroyed permanently or can be moved to a secondary storage also known as an archive.
